REPORTS TO: Controller PRIMARY RESPONSIBILITIES Performs a variety of administrative tasks including answering and directing incoming calls to appropriate associates, mail distribution, requisition of supplies and general office tasks. ESSENTIAL FUNCTIONS Answers telephones and directs the caller to the appropriate associate. Greets and directs visitors to the company. Receives, sorts and distributes incoming and outgoing mail. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) Manages the ordering, receiving, stocking and distribution of office supplies. Organizes and prioritizes large volumes of information and calls. Maintains and updates filing system; retrieves information from files when needed. Data entry. Assembling confidential and sensitive information. Coordinates and schedules meetings and activities. Other general office tasks as assigned. QUALIFICATIONS AND REQUIREMENTS Basic computer skills, including experience with Microsoft Excel, Word and Outlook. Professional and effective communication skills, including telephone and email. Self-starter, with excellent work ethic. Ability to balance multiple tasks in busy environment. Punctual and dependable with a focus on working until job is done. Ability to interact and communicate with individuals at all levels of organization both in verbal and written form. Independent judgment is required to plan, prioritize and organize diversified workload. ENVIRONMENT This job operates in a professional office environment. This role routinely uses standard office equipment such as computers w/ Microsoft Office, phones, photocopiers, filing cabinets, postage machine, UPS software and fax machines PHYSICAL DEMANDS This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. POSITION TYPE This is a full-time position. Days and hours of work are Monday through Friday, 8:00 am to 5 pm There will be times when some overtime is necessary.
