SUMMARY Manages a variety of general office and project activities, including facility administration tasks, by performing the following duties: ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following: Supports Operations Manager and Shop Manager with HR requirements such as regular and temporary employee staffing, new hire processing/orientation, drug testing, payroll, employee changes, termination paperwork, attendance tracking, and shop employee time collection and reporting. Assists employees with questions or directs them to the appropriate contact. Represents Harmon in a positive, friendly manner to shop employees and guests. Supports Operations Manager with Finance requirements such as accounts payable, invoice processing, vendor maintenance, and purchase order generation/management. Assists with job financial maintenance and processes, including monthly billing generation and management Reconciles monthly p-card accounts within electronic systems. Supports Operations Manager and Shop Manager with safety requirements such as DOT compliance, OSHA recordkeeping, workers compensation, safety committee administration, and the safety recognition program. Assists Shop Manager with administration and communication of safety programs and procedures. Supports Operations Manager and Shop Manager with office administrative requirements such as managing and ordering office supplies, answering telephones, opening and sorting mail, shipping packages, filing, working with the cleaning company, and greeting visitors. Coordinates sales, shop, and office event logistics and communications for events occurring within and outside of the manufacturing facility (ie Employee Luncheons, Sales Presentations, etc.). Supports Operations Manager, and other facility employees with project administration requirements such as copying and labelling drawings, assembling drawing packages for the shop floor, updating quality issue cards in the quality database, and generating required job information reports. Also includes meeting note generation/distribution, light data entry into project spreadsheets, and other project administration tasks (ie progress tracking, layouts, sequence numbering, etc.) Researches, recommends and develops processes that create timely and efficient administrative workflow. Ensures compliance with corporate procedures for systematic retention, protection, retrieval, transfer and disposal of records. Reviews clerical and personnel records to ensure completeness, accuracy and timely submission. Represents facility to corporate contacts and accommodates requests for information. Maintains productive working relationships with corporate departments, customers, and vendors. Collects data and prepares reports for analysis by management staff, as requested. Coordinates activities for various departments or workers/guests within the office and facility. Makes travel arrangements as needed. Applies Continuous Improvement principles in own work performance and drives Continuous Improvement application in company operations and facility. Assists in facility continuous improvement administration and record keeping, including but not limited to report generation, data entry, information posting, graph generation, etc. Other duties may be assigned. SUPERVISORY RESPONSIBILITIES This job has no regular supervisory responsibilities. May include supervision and work assignment generation for hourly admin temp employees on occasion. EDUCATION and/or EXPERIENCE Associate's degree (AA) or equivalent from two-year college or technical school; one to two years related experience and/or training with billing and/or payroll; or equivalent combination of education and experience. Experience working in a manufacturing environment preferable. DESIRED SKILLS Ability work independently. High level of professionalism with a strong work ethic. Self-starter, proactive ability to plan, prioritizes and organizes workload. Dependable and helpful with a can-do attitude and the ability to adapt to changing priorities while maintaining a friendly demeanor. Detail oriented. Willing to work with all aspects of the facility. LANGUAGE SKILLS Strong written and verbal communication skills; ability to write routine reports and professional correspondence. Friendly, positive demeanor and attitude with strong customer service skills. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and create and interpret bar graphs, calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Must be organized and able to multi-task various activities. TECHNICAL SKILLS Proficient in Microsoft Office Programs (ie: Word, Excel, Outlook), and the ability to learn other software applications.
