The College of Medicine, Department of Internal Medicine is recruiting for a full:time (100 FTE) Program Coordinator. This position will support the University's mission and commitment to excellence and diversity in our students, faculty, staff, and all our activities. In conjunction with the department's tripartite mission, it will interface significantly with clinical provider affairs at UC Health.
Job Duties:General duties will include, but not be limited to:
:Working collaboratively with the Department Chair, Division Directors, faculty, and other staff to effectively and efficiently plan, monitor, and coordinate functions pertaining to the faculty appointment, reappointment, promotion and tenure (ARPT) process;
:Coordinate, evaluate and manage faculty dossiers utilizing a web:based electronic file management system;
:Act as liaison to the Department ARPT Committees through written communication; scheduling of meetings; and preparation and dissemination of review documentation;
:Ensure that all departmental scheduling and submission requirements are met in a timely manner in accordance with College and University guidelines;
:Develop and maintain systems for monitoring data and records for 350+ faculty;
:Compile statistics and prepare reports related to faculty roster;
:Track departmental completion for annual faculty compliance, including but not limited to annual evaluations, outside activity reporting, and various training requirements;
:Design and execute bi:annual departmental orientations for newly hired faculty and providers;
:Suggest, update and implement new university, UC Health, college, departmental policies and procedures when appropriate;
:Collaborate with others in addressing other departmental administrative needs as required.
Minimum Qualifications:Bachelors degree with one (1) year experience; :OR: Associates degree with three (3) years experience; :OR: five (5) years experience. Experience must be in program coordination.
Ideal Qualifications:Ideal candidates will have experience in the following areas:
:Extensive knowledge of UC systems and processes;
:Excellent written and communication skills and a knowledge of Microsoft Word, Excel, Outlook and PowerPoint is required;
:Ability to work effectively within prescribed time constraints and with the flexibility to respond to changing priorities and fluctuating workloads;
:Strong interpersonal skills are required to establish and maintain cooperative working relationships with faculty and staff;
:Skills in organizing work, defining tasks, prioritizing assignments, and following through on all projects independently
